Scope and Content 

 

Sub-series consists of official copies of minutes from meetings of the Governor and Committee, which were known as "fair" copies. These fair copies were created from "foul" copies, which were considered draft or rough copies. Early minute books also contain minutes of the General Courts of Proprietors, and more recent books include minutes of the Canadian Committee, which was created in 1912. From 1737 to the mid-19th century, minutes of the Sub-Committee for Trade are also included in Governor and Committee minute books. Many volumes after 1709 are indexed. Records are arranged chronologically.

 

Restrictions on Access 

 

Minutes of the HBC and its subsidiaries are subject to a 15 year rule. Access is restricted until 15 years after the records were created. Special permission to view the records must be granted by HBCA. Some original records have been withdrawn, and must be viewed on microfilm.

Researchers are responsible for observing copyright legislation. Permission may be required for any form of publication or exhibition where records are not in the public domain.

Notes 

 

The Hudson's Bay Record Society has published the first volume of minutes (1671-1674) in HBRS Volume V, and the second volume of minutes (1679-1684) in HBRS Volumes VIII and IX.

There are no fair copies of minutes for the periods 1718-1737 and 1778-1782. Foul copies may be consulted for these years.

Minutes for the periods November 1878 to April 1882 and February 1910 to December 1917 are unidexed. The sub-series "Minutes of the Executive Sub-Committee and abstracts of letters," which has indexed volumes, is a useful guide for matters of consideration to the Governor and Committee during these years.
